Element451 Data Privacy & Security Statement

Overview

Element451 is a software platform for admissions marketing, intelligent decision-making, and enrollment management. Individual students have access to apps and tools (i.e., applications, event reservation systems, calendars, communications, and generated web pages). These features are launched and configured by Universities or Colleges through an administrative dashboard. Except as described herein, the information you submit to us through inquiry, employment, or other forms is never shared with third parties. We use the contact information you provide us only to communicate with you.

We take the security of your information seriously and take steps to keep your information secure. Please read the full Privacy and Security Statement below, and you can always contact us if you have questions.

What we collect

To improve your experience using our platform, we collect several types of information for our business operations, including but not limited to:

Information is collected from forms on our websites. This includes information provided at the time of completing an online form, such as requests for information, event registrations, or an application.  We may ask you for information when you report a problem with our websites, products, or services.

Usage details, IP addresses, and cookies. As you navigate through and interact with our websites, we may automatically collect certain information about your equipment, browsing actions, and patterns using common internet technologies, such as cookies and web beacons. This may include details of your visits to our websites, including information about your connectivity, such as your IP address and browser information, location data, logs, and other communication data, and the resources you access and use on the websites.

How much data do we collect?

We only collect and retain as much personal information as needed for specific, identified purposes described in this Privacy and Security Statement, and we will not use it in any way that is incompatible with those purposes.

How or when we disclose your information

Protecting your personal information is important to us, and we neither rent nor sell your personal information. We may disclose or transfer personal information that we collect or you provide as described in this Privacy and Security Statement, including:

  • To the University or College, you have submitted a request for information, an application, or a tuition deposit.
  • To comply with any court order, law, or legal process, including responding to any government or regulatory request.
  • To enforce or apply our Terms of Use and other agreements that govern the sale or use of our products and services.
  • To protect the rights, property, or security of Element451, our employees, our users, or others.
  • To our service providers that work on our behalf, or with us, to provide you with our apps, tools, and services, but only to the extent necessary to provide such apps, tools, or services.

How do we transfer your information?

To facilitate our global operations, your personal data may be collected, transferred to, and stored by us in the United States and by our affiliates in other countries where we operate, including countries outside the European Economic Area (“EEA”).  If your personal data is transferred outside the EEA, we will put in place suitable safeguards to ensure that such transfer is carried out in compliance with applicable data protection rules.

How do we store your data?

We will only retain personal data for as long as necessary to fulfill the purpose for which it was collected or to comply with legal, regulatory, or internal policy requirements.

How do we secure your personal data?

We take your security seriously and take reasonable steps to protect and secure your personal information from unauthorized access, use, and disclosure. We have implemented adequate technical and organizational measures to protect personal data against unauthorized, accidental, or unlawful destruction, loss, alteration, misuse, disclosure, or access and against all other unlawful forms of processing. These security measures have been implemented taking into account the state of the art of the technology, their cost of implementation, the risks presented by the processing, and the nature of the personal data, with particular care for sensitive data.

Your rights related to your personal data

You may have a right to access and obtain a copy of your personal data as processed by Element451.

You may also have the right to:

  • object to the processing of your personal data;
  • request the rectification of inaccurate personal data and ensure it is complete
  • request the erasure of your personal data;
  • request restriction on the processing of your personal data;
  • request a transfer of your personal data to another controller to the extent possible

Google Services Integration Privacy Disclosure

Element451 offers integration with Google services, including Google Calendar and Google Drive. When you connect your Google account to our service, we request specific permissions to access your data using Google's API services.

Google Calendar Integration

Element451 requests access to your Google Calendar when you enable the Calendar integration through our Appointments module. This integration allows appointments booked through Element451 to be automatically created, updated, or removed in your Google Calendar.

Specifically, our application requests the following access permissions (scopes):

  • See, edit, share, and permanently delete all the calendars you can access using Google Calendar (/auth/calendar)
  • See and download any calendar you can access using Google Calendar (/auth/calendar.readonly)
  • View and edit events on all your calendars (/auth/calendar.events)
  • See the availability on Google calendars you have access to (/auth/calendar.events.freebusy)

The data we process through this Calendar integration is limited to appointment details, including date, time, duration, title, description, and participant information necessary for calendar functionality.

Google Drive Integration

Element451 requests access to your Google Drive when you enable the Drive integration through our Import + Export module. This integration allows you to import data/documents from and export data/documents to your Google Drive.

Specifically, Element451 requests the following access permissions (scopes):

  • See, edit, create, and delete all of your Google Drive files (/auth/drive)
  • View and manage metadata of files in your Google Drive (/auth/drive.metadata)
  • See, edit, create, and delete only the specific Google Drive files you use with this app (/auth/drive.file)
  • See, edit, create, and delete all your Google Sheets spreadsheets (/auth/spreadsheets)

The data we access through this Drive integration is limited to files you specifically choose to import or export using our platform's Import + Export module.

Data Usage and Access

Element451 does not access, store, or process other Google account data beyond what is required for the integration features you've enabled. Your data security and privacy are our priority.

AI/ML Model Training

Element451 does not use any Google user data to develop, improve, or train generalized AI and/or ML models.

Revoking Access

You can manage or revoke access to your Google services through the Element451 dashboard:

  • To revoke Calendar access: Navigate to Appointment Settings > My Settings
  • To revoke Drive access: Navigate to Data + Automations > Import + Export > Connectors

Alternatively, you can revoke access directly through your Google Account settings (under Security > Third-party apps with account access). Please note that revoking access through Google will remove access for all connected Google services (both Calendar and Drive).
